PRIVACY POLICY AND DISCLOSURE STATEMENT

Cypress Lakes Group Limited ABN 76 003 621 136 and its related bodies corporate, including Cypress Lakes Golf and Country Club Pty Limited ABN 81 003 953 339 t/as Cypress Lakes Resort, The Golden Door Pty Limited ABN 85 083 549 660 t/as The Golden Door Health Retreat and The Golden Door Club at Mirage, The Golden Door Resort Retreat - Cypress Lakes Pty Limited ABN 37 092 524 617 t/as The Golden Door Resort Spa at Cypress Lakes, The Golden Door Health Retreat Pty Limited ABN 32 097 636 596 t/as The Golden Door Health Retreat Elysia  (collectively referred to as "Cypress Lakes", "we", "our" and "us") will be subject to the National Privacy Principles in the Privacy Act 1988 (as amended by the Privacy Amendment (Private Sector) Act 2000 (Cth)). The Cypress Lakes Privacy Policy and Disclosure Statement explains in general terms how Cypress Lakes protects the privacy of your personal information under the National Privacy Principles. It also sets out the matters which we are required to disclose to individuals under National Privacy Principles 1.3 and 1.5. The principles set out in the Cypress Lakes Privacy Policy and Disclosure Statement will apply to any personal information you provide to Cypress Lakes via its web site or under any other agreement or arrangement. The Cypress Lakes Privacy Policy and Disclosure Statement does not apply to acts and practices of a Cypress Lakes entity which relates to the employee records of that Cypress Lakes entity's employees.

How we collect your personal information: We generally collect your personal information directly from you. For example, we may collect personal information about you when you deal with us over the telephone, when you make a reservation or through other correspondence (whether by letter, fax or e-mail), when you visit our web site or when you have contact with us in person.

Generally, the type of personal information we collect about you is the information included in documents such as a reservation form , for example, your name, mailing address, telephone number and e-mail address. In some circumstances, we may also collect sensitive information about you such as information about your health (including any disability).

Our disclosure statement: Cypress Lakes collects personal information from you for the following purposes:

  • to confirm your reservation for accommodation services.
  • to confirm and process your method of payment.
  • to address the specific needs of customers in respect of our services, including our services at our health retreats.
  • to provide you with information about our business and to undertake other marketing activities.

If you do not provide the information requested, we may not be able to provide you with the service requested. If you are our customer, we may disclose your personal information to third party service providers, who assist us in providing services to you, such as audio visual services for your conferences.

How we use or disclose your personal information: We will use and disclose personal information for the primary purpose for which it was collected. We may also use or disclose personal information for purposes related or ancillary to the main reasons we collect it, such as invoicing, provision of information concerning accommodation and other services offered by us.

We engage third party contractors such as mail houses to mail out our brochures to you on our behalf. In these situations, we prohibit the third party contractor from using personal information about you except for the specific purpose for which we supply it. We do not disclose personal information we collect to third parties for the purposes of allowing them to direct market their products and services.

Sharing information within the Cypress Lakes Group: Each Cypress Lakes entity may disclose personal information to other Cypress Lakes entities which will use and disclose the information only for the purposes for which it is collected as stated above. Contact details for all Cypress Lakes entities are set out below.

Gaining access to information we hold about you: Cypress Lakes will, on request, provide you with access to the information we hold about you, unless there is an exception which applies under the National Privacy Principles.

Your request to access the information we hold about you will be dealt with in a reasonable time. Cypress Lakes may recover from you its reasonable cost of supplying you with this information.

If any of the personal information we hold about you is not accurate, complete or up to date, you can request that we take steps to correct it.

If we refuse to provide you with access to the information or to correct it, we will provide you with reasons for the refusal and inform you of any exceptions relied upon under the National Privacy Principles.

Keeping your personal information up-to-date: We take reasonable steps to ensure that your personal information is accurate, complete, and up-to-date whenever we collect or use it.

If you find that the personal information we hold about you is inaccurate, incomplete or out-of-date, please contact us immediately and we will take reasonable steps to either correct this information, or if necessary, discuss alternative action with you.

Security of your personal information: We protect any personal information that we hold from misuse and loss. We also protect it from unauthorised access, modification and disclosure.

Your personal information may be stored in hard copy documents, as electronic data, or in Cypress Lakes' software or systems.

We make our employees aware of the sensitive nature of your personal information and only permit them with access on a need-to-know basis.
